Private Funds Manager (PFM) Software

PFM provides a cost effective and easy way for your school to manage school trips, before and after school clubs, events, donations, uniform, fundraising and any other school funds. It produces all the information the organizers needs and all the finance information your finance team requires.

PFM is used by schools and colleges throughout the UK - from nursery schools and small primaries, to large academies. More than 2000 schools are using the program, which was first introduced in 1999
Links with pupil records system
Information can be read from ALL pupil record systems ensuring that information such as medical details, pupil premium status and parent contact details are always up to date.
Money received
As well as importing online payments, PFM processes cash & cheque payments simply & efficiently, producing receipts if required. It can also automatically read from your bank statement.
Club attendance module
PFM manages before/after school clubs, either those that are booked in advance, or those where children are charged in arrears after attendance. For those booked in advance, PFM can produce invoices for the sessions, and can then produce attendance records, payment reports, statements and chase up letters.
Reports
PFM provides a very wide range of reports. These include standard Financial reports such as the Balance Sheet, Income & Expenditure, Audit Trail etc.; Account Summaries; Trip reports such as contact lists, medical lists, payment reports, debtors etc.; and Pupil reports such as payment cards, amounts owing, amounts paid etc.
Inbuilt emailing
Send emails and letters automatically to parents of pupils on trips or linked to accounts. These can be information, debtor chase up, consent form chase up or anything else required.

Links with online payment systems
PFM can link with online payment providers such as Parentpay, Parentmail, SchoolComms and Teachers2Parents etc. PFM also provides a basic automatic, inbuilt facility to accept internet payments made through the internet banking system. This facility is free of charge and allows parents to pay online for trips or anything else.
Payments out
Payments can be made from PFM either as cash, hand written cheques, pre printed cheques or through the BACS system.
Invoicing module
PFM has an inbuilt invoicing module, producing invoices for the parents of children for things like music lessons, transport, prom, damages. You can also invoice external customers such as for lettings and hires.
Gift Aid
Record gift aidable donations, Bucket Collections and other fundraising income and produce reports for HMRC for reclaiming, including automatic creation of the electronic spreadsheet for uploading
Nurseries
Setup nursery sessions with either session or hourly charges, and book pupils onto calendar. Generate session summaries and invoices. Record attendance and generate payment reports and chase up letters.
